Executive/Senior Executive (Events)

The Institute of Policy Studies (IPS) is a policy research think-tank in the Lee Kuan Yew School of Public Policy, National University of Singapore. IPS is looking to hire an Executive or Senior Executive on a two-year contract to join its Events team. This close-knit and dedicated team is responsible for organising all IPS events, which serve as a platform to communicate research findings to the broader public in Singapore.

 Job Description

 Key responsibilities include:

  • Coordinating and managing a wide range of conferences and events, fostering collaboration among management, researchers, and administrative staff to ensure the success of the Institute’s events;
  • Handling event management aspects such as planning, budgeting, liaising with speakers and partners, venue booking, registration of participants, preparing conference materials, managing event secretariats, overseeing on-site or virtual events, and conducting post-event follow-ups;
  • Providing general administrative support, including managing the main phone line, maintaining the Institute’s event management database and handling any ad-hoc tasks assigned;
  • Assessing and recommending appropriate platforms for virtual, hybrid, and in-person events to keep the team updated with industry trends. 

Qualifications

  • Possess at least a Bachelor’s degree in Business Administration or a related field from a reputable university;
  • Preferably with two years of professional experience or event organisation background. Fresh graduates with a keen interest in event planning are also welcome to apply. 
  • Demonstrate motivation, the ability to work under pressure, and good interpersonal skills; 
  • Exhibit a strong command of both written and spoken English;
  • Be methodical, organised, and an effective team player;
  • Proficient in Microsoft Office, Microsoft Access, and events platforms/tools (like Pigeonhole, Qualtrics, LinkTree).
